Our General Data Protection Regulations Policy 2018

Vision for Asia takes your privacy very seriously and only collects and uses personal information about donors, partners and other individuals who come in contact with the charity. This Policy aims to explain how supporter’s information is collected and managed.

Data Protection Manager

Vision for Asia has an appointed Data Protection Manager whose role it is to collect, store and manage the supporters’ personal information to ensure it is being done in accordance with GDPR 2018. The Charities named person is Miss H Fletcher, who is accountable to the charities trustees in all issues relating to this role. Her role is to ensure the information is processed fairly, lawfully, accurately and securely at all times.

Consent to hold information

Vision for Asia will only hold personal information on its data base if consent has been given by the person and the process of updating and storing the information has been followed. The individual retains the right to remove themselves from this at any time by informing us in writing or by email to our designated person (Data Protection Manager). Once consent has been revoked all personal information will be deleted and removed in a secure way. Or we will remove information of supporters, after a period of time, who no longer have a relationship with Vision for Asia.

Information collected

The information collected will include the supporters name, postal address, email address, phone numbers, bank details if the support is financial, and gift aid support if this is applicable.

Use of information

The information is collected to process supporters’ requests and to keep them up to date with the work of Vision for Asia.

Ways it can be used:

  • to provide supporters with the latest news through our newsletters
  • to process donations and gift aid
  • to provide details of events and conferences
  • to provide prayer updates from Asian partners

Security of information

Vision for Asia’s information is held on two external hard drives The Data Protection Manager has one and the Chair has the other. Email information is also held by these two and the Charity’s Treasurer. In certain circumstances information of supporters will be held by project managers (Child sponsorship as an example) where they are in regular contact with supporters and again this information will be held on a Vision for Asia external hard drive which remains the property of the charity.

Sharing of information

Vision for Asia does not share personal information with other organisations for their benefit. Personal information is used only in connection with the work that we do as a charity. We may use other companies to provide services on our behalf and therefore provide them with only the information to deliver the services they offer; such as postal mail and sending email.

Vison for Asia, in certain circumstances, may share personal information with our partners in Asia to enable the operation of sponsorship programmes. In such cases we insist that the information is used for the stated purpose only. The information never includes financial details. We are aware that Asia does not have the same GDPR as we do here in the UK and therefore we take particular care if your data goes to our partners.

We may share personal information if required to do so by law.

Vision for Asia is committed to ensuring that the accuracy, privacy and security of personal information will be follow the guidelines laid out in the GDPR 2018.

We will also ensure they we keep you updated on any changes that affect us holding your information as it happens.

This policy will be reviewed every two years, or sooner if required by changes to GDPR 2018.

This is done through appropriate technical and organisational measures.

You have the right to request access to the information we are storing about you.

We will provide the information you request within 30 days, following receipt of the request and proof of identity.

We will provide full access to all information concerning you.

We act on requests and provide information free of charge.

How can you correct or delete your information?

If you believe that the information we have about you is incorrect, you are welcome to contact us so we can update it and ensure it is accurate.

If at any point you wish us to delete information we hold about you, please contact us.

We collect and store information that you submit voluntarily through our website forms for example if you use our website contact form.
